Thank you for your partnership and support of SACUBO as a Business Partner for the 2025 Women’s Leadership Forum in Virginia Beach, VA. Below you will find important information to help you prepare for the event. Should you have questions or need any additional details, please reach out to [email protected].

Exhibit Details & Schedule

The exhibit area will be in the Peacock Foyer of the Hilton Virginia Beach Oceanfront hotel. You will receive your exhibitor table assignment one month prior. Please note that exhibit tables will only be set up for the Opening Networking Dinner & Reception on Wednesday night.

Each exhibitor setup includes:

  • One (1) 6' Skirted Table
  • Two (2) Chairs
  • Access to Conference WIFI

Important Dates & Deadlines

  • 12/26/24 – Payment & Signage Deadline | Any outstanding balances must be paid by this date to be included on conference signage. Please contact [email protected] if you need assistance with submitting payment.
  • 2/10/25 – Online Registration Deadline | Complimentary registrations must be redeemed by this date. Once online registration has closed, you will be required to register onsite at the event.
  • 2/10/25 – Lead Retrieval Purchase Deadline | Lead retrieval can be purchased during the initial sign-up process or by emailing the office at [email protected]. Lead retrieval will not be available for purchase onsite at the event.

Registering Representatives

The deadline to register your representatives is February 10, 2025. After this date, you will be required to register onsite.

To redeem the complimentary registrations included in your partnership package:

  1. Login to the SACUBO website to access the SACUBO 2025 Women’s Leadership Forum Registration Form.
  2. Select “Business Partner” when asked “Are you registering for the Women’s Leadership Forum as an attendee or business partner?”
  3. Under the Registration Details and Preferences Section, you will select “Complimentary Registration Redemption” as your Business Partner Registration.
  4. Proceed through the form using the “Next” button until you reach the Summary page.
  5. Enter the discount code provided to you and select “Apply” before submitting the form to remove the cost of registration.

Lead Retrieval

With the purchase of lead retrieval, you can scan attendees' badges with your smartphone or tablet and access real-time reports.

The deadline to order lead retrieval is February 10, 2025. Lead retrieval can be purchased during the initial sign-up process or by emailing the office at [email protected]. Lead retrieval will not be available for purchase onsite at the event.

PRICING

  • Lead Retrieval - $350 - Includes two licenses to the lead retrieval portal.
  • Additional licenses can be purchased for $175 each.

The license(s) for your lead retrieval is connected to the conference app. You will be receiving an email approximately one week prior to the conference with instructions on how to login, assign your licenses, and use the lead retrieval platform.

Shipping & Material Handling

The Hotel requires that arrangements for delivery of packages be made through the Convention Services Department. Exhibitor is responsible for the arrangements and all expenses of shipping materials, merchandise, exhibits, or any other items to and from hotel.

Any materials being sent to the Hotel must include the following information:

  • Address package to hotel as follows:
    • Hilton Virginia Beach Oceanfront, 3001 Atlantic Ave., Virginia Beach, VA 23451
  • Hold for Arrival – Attn: (Guest’s Name / Organization Name / Conference Name)
  • Complete return address
  • Number of packages (Example: Box 1 of 2, Box 2 of 2, etc.)
  • Date the function is being held.

Hilton Shipping & Receiving Form

Attendee List

SACUBO does not sell the attendee list for any of our events. As a participating sponsor or exhibitor at a SACUBO event, you will receive the attendee list as a part of your partnership package at no additional cost.

For Business Partners with early access to the attendee list, you will receive the list two months prior to the conference with updated lists sent every two weeks. All other partners will receive the list one month prior to the conference with an updated list sent two weeks before the event. A post-event attendee list will be sent within one week after the conference to all partners.

If you are contacted by an outside party advertising the sale of the SACUBO 2025 Women’s Leadership Forum attendee list, be aware these emails and solicitations are spam. If you receive an email from anyone outside of the SACUBO Office claiming to have access to the attendee list, please do not respond and forward the email to [email protected].

Payment Policy

Partnership benefits will be implemented upon receipt of payment. Unless otherwise noted, payment in full must be received no less than 60 days prior to the start date of the event to ensure you receive all benefits included within your partnership package. We encourage you to submit payment as soon as possible to fully maximize your partnership benefits with SACUBO.

Cancellation Policy

SACUBO understands that circumstances may arise that prevent Business Partners from fulfilling their commitments. Business Partners who cancel 60 days or more from the start date of the event are entitled to a refund minus a $250 fee. No refunds will be issued for cancellations made less than 60 days prior to an event. All cancellations and refund requests must be submitted in writing to [email protected].
